Abstract

The current methods used for collecting student payments in most Nigerian universities still depend on manual and partly automated systems that are susceptible to errors, delayed verification of payments, and the printing of physical receipts that can easily be misplaced or forged. At Godfrey Okoye University, online payments made by students for fees are subject to verification by the bursary officers through manual processes which could take anywhere between a few hours to even several days. The study aims at providing a solution to the problem by developing an automated payment verification and digital receipt system for the university. The proposed system employs webhooks to collect real-time information on payments made, automatically verify and generate PDF digital receipts without the need for any human interaction from bursary officers. The system was built based on Python Flask web application framework for back-end programming, SQLite for persistence, ReportLab for creating PDF receipts and HTML5, CSS3, and JavaScript for building frontend user interfaces. The methodology chosen was Object-Oriented Analysis and Design, making it possible to implement the project more modularly and making its testing and maintenance relatively easy. As part of the implementation, a mock payment gateway was also included to simulate the entire flow of payments from receipt of a payment until the completion of processing the webhook for testing purposes. According to the results of system testing, the payment pipeline managed to process payments within less than two seconds on average, generate proper receipts with all relevant information and update the status of students' clearance within the database right after payments have been confirmed. Administrators could track payment statistics, filter student records, check webhook events and download receipts using the provided dashboard. Webhook automation is proven to minimize the bursary department workload, minimize any occurrence of receipt fraud, and enhance students' payment process in private universities in Nigeria, and it suggests that the next version of webhook automation incorporate live payment gateways like Paystack or Flutterwave, enable emails or SMS notifications, and implement HMAC signatures for secure webhook automation.
